1. Who we are

MEADOWKIND LTD (“we”, “us”, “our”) is the data controller for personal data collected through this website. We are registered in England and Wales under company number 16548689, with our registered office at 112 Langham Road, Blackburn, BB1 8DP, United Kingdom.

We are registered with the Information Commissioner’s Office (ICO) as a fee-paying data controller. Our ICO registration reference is ZC090318.

2. The personal data we collect

We collect only what we need to respond to business enquiries and to provide our services:

Enquiry data — the company name, contact name, business email address, telephone number, service interest, indicative volume and the content of the message you send through our contact form or by email, telephone or WhatsApp.
Client and supplier data — the business contact details of the people we deal with at client, supplier and partner organisations in order to perform our services and administer the relationship.
Technical data — your IP address, browser type, device information and the pages you view, collected through server logs for security and, where you consent, through analytics cookies.
Correspondence — a record of emails, messages and calls relating to your enquiry or account.

We do not knowingly collect special category data (such as health or ethnicity) through this website, and we ask that you do not send it to us through the contact form.

3. Why we use it, and our lawful basis

Under the UK GDPR we must have a lawful basis for each use of your personal data:

Responding to enquiries and managing client relationships — our legitimate interests (Article 6(1)(f)) in operating and growing a business-to-business trading company. You can object to processing based on legitimate interests at any time (see section 8).
Providing our services under a contract — performance of a contract, or taking steps at your request before entering into a contract (Article 6(1)(b)).
Non-essential cookies and any marketing you have opted into — your consent (Article 6(1)(a)), which you can withdraw at any time.
Meeting our legal duties — compliance with a legal obligation (Article 6(1)(c)), for example keeping accounting and tax records.

4. Cookies and similar technologies

We set strictly necessary cookies to operate the site and to remember your cookie choices. We do not set analytics or marketing cookies unless and until you agree through our cookie banner. You can change your choice at any time using “Cookie preferences” in the footer of any page. This reflects the ICO’s current guidance on storage and access technologies under PECR and the UK GDPR.

Cookies we use

mk_consent_v1 — strictly necessary. Stores your cookie preferences so we do not ask on every visit. Retained for 12 months, held in your browser only.
We do not currently use any analytics, marketing or third-party cookies. If this changes in future, we will update this notice before setting any new cookies.

5. Who we share it with

We share personal data only where necessary, and only with:

service providers who process data on our behalf under a written contract, such as our website host, email provider and any customer-relationship or accounting software we use;
professional advisers such as accountants and lawyers, where needed;
authorities and regulators where we are required to by law.

We do not sell your personal data, and we do not share it for third-party marketing.

6. How long we keep it

We keep enquiry data that does not lead to a contract for 12 months, after which it is deleted. We keep client and supplier records for the duration of the relationship and for six years afterwards, to meet contractual, tax and limitation-period requirements. Technical logs are kept for 90 days.

7. Your rights

Under the UK GDPR you have the right to be informed about how we use your data, and the rights of access, rectification, erasure, restriction of processing, data portability, and objection, including the right to object to processing based on our legitimate interests and to opt out of direct marketing at any time. Where we rely on consent, you can withdraw it at any time without affecting processing that has already taken place.

To exercise any right, email enquiries@meadowkind.co.uk. We will respond within one month. There is normally no charge.

8. How to complain

If you are unhappy with how we have handled your personal data, please tell us first so we can put it right. You can complain directly to us by email at enquiries@meadowkind.co.uk or by post to our registered office, marked for the attention of the Data Protection Contact. We will acknowledge your complaint, make reasonable enquiries, keep you informed of progress, and aim to give you an outcome within three months, in plain language. This reflects the complaint-handling duty introduced by the Data (Use and Access) Act 2025.

9. Security

This website is served over HTTPS. We apply a Content Security Policy, restrict who can embed our pages, validate and escape data submitted through our forms on the server, and limit access to personal data to staff who need it. No online transmission or storage can be guaranteed completely secure, but we take appropriate technical and organisational measures to protect your data.

10. Changes to this notice

We may update this notice from time to time. The version in force is always the one published on this page, with the date it took effect shown above. Where changes are significant we will take reasonable steps to bring them to your attention.
